Your data is used exclusively for: responding to your inquiries, delivering requested services, sending project proposals, processing payments, and maintaining legal compliance for tax and accounting purposes. We do not sell, rent, or share personal data with third-party marketers or data brokers.

Data Storage & Security

All personal data is stored on encrypted EU-hosted cloud infrastructure compliant with ISO/IEC 27001 standards. We implement industry-standard security measures including TLS encryption, access controls, and regular security audits.

Your Rights

Data Retention

We retain personal data only as long as necessary to fulfill the purposes outlined in this policy, or as required by law. Project-related data is retained for 24 months after the final invoice. Inquiry data without a signed contract is deleted after 12 months.

These Terms of Service ("Terms") govern all services provided by RapidAICore ("we", "our", "us") to our clients ("you", "your"). By engaging our services, you agree to be bound by these Terms.

Scope of Services

All services — including but not limited to agentic workflow automation, predictive model development, cognitive process mining, RPA implementation, analytics dashboards, AI integration, LLM fine-tuning, and ongoing AI retainers — are delivered as specified in individual Statements of Work (SOW) executed between RapidAICore and the client.

Intellectual Property

Upon complete payment of all agreed invoices, RapidAICore assigns 100% of all worldwide intellectual property rights in the delivered software, trained models, pipelines, design tokens, and documentation directly to the client. No recurring licensing fees or vendor lock-in applies.

Payment Terms

Invoices are payable within 14 days of issuance unless otherwise specified in the SOW. Late payments incur a 2% monthly administrative fee. Work on ongoing projects may be paused if invoices remain unpaid beyond 30 days.

Confidentiality

Both parties agree to maintain strict confidentiality of all proprietary information exchanged during the engagement. This obligation survives termination of the agreement for a period of 3 years.

Limitation of Liability

RapidAICore's total liability for any claim arising from or related to our services shall not exceed the total fees paid by the client under the applicable SOW in the 12 months preceding the claim. We shall not be liable for indirect, incidental, or consequential damages.

RapidAICore is committed to client satisfaction. This Refund Policy outlines the conditions under which refunds may be issued for our AI and automation services.

Project-Based Services

For one-time project engagements (workflow automation, predictive models, process mining, RPA, dashboards, API integration, LLM fine-tuning):

• Before work begins: Full refund of any advance payment within 5 business days.
• During active development (up to 50% complete): Refund of the portion of fees for work not yet delivered.
• After 50% completion: No refund is available, as significant engineering resources have been allocated and committed.

Monthly Retainers

AI retainer subscriptions can be cancelled with 30 days' written notice. The current billing period is non-refundable. Any prepaid months beyond the current period will be refunded in full within 10 business days.

How to Request a Refund

Submit refund requests in writing to [email protected] with your project reference number and reason for the request. We will respond within 3 business days with a resolution.

Dispute Resolution

Any disputes arising from these policies will first be addressed through good-faith negotiation. If unresolved, disputes shall be submitted to the competent courts in Warsaw, Poland, in accordance with applicable Polish and EU law.
